5 Time Management Tips to Boost your Productivity

When the day draws to a close, you look back and wonder, "Where did the time go?" If you feel that you don't have enough time or that time is passing you by too quickly, managing your time is the first step in taking control of your day. Let's have a look at time management tips to make the most of your time!

Find out where you waste your time 

If you find it takes you much longer to finish an assignment or meet deadlines, have you figured out the root of the problem? Perhaps you're looking for snacks after finishing a set of questions and end up not regaining your focus. 

Tracking your activities is a good place to start to have a clear picture of how much time you spend on different activities. This allows you to eliminate any time-wasters that may not contribute to any of your work!

Identify your productive 'time zone' 

Knowing when you're at your most productive allows you to adjust your schedule and take advantage of those periods. If you are most productive at 4 in the afternoon, for example, isolate those productive periods and work on the tasks you need to do.

If you're unsure when you're at your most productive, consider the following questions:

  • From 1 to 10, how would you rank your mornings, afternoons, and evenings in terms of the energy you have?
  • What time of day do you concentrate and focus the most? 
  • When do you find it easiest to concentrate and focus?

Prioritize your tasks 

One of the time management tips you should know is using the Eisenhower Matrix to separate your tasks. The framework lies upon two elements: urgency and importance. 

Urgent tasks are those that demand your immediate attention and are time-sensitive (there is a deadline). On the other hand, important tasks are those that contribute to your long-term goals and values.

Group your tasks into four categories using the Eisenhower Matrix:

  • Urgent + Important: Do it now 
  • Not Urgent + Important: Schedule a time to do it 
  • Urgent + Not Important: Delegate the tasks
  • Not Urgent + Not Important: Eliminate the tasks

Bonus time management tips: Timebox important tasks

You may probably face a situation where a 30-minute task gets out of control and occupies your entire day. Thankfully, you won't be facing this problem any longer if you timebox your schedule. 

Timeboxing is a method of allocating a specific amount of time to finish a particular task. It is like scheduling a meeting; when the scheduled time arrives, you'll have to carry out the task within the allotted time. However, if you still find yourself going over your time limits after timeboxing your schedule, take a look at your workflow and decide whether you need to allocate more time on those tasks.
